AI Deliberator
Privacy Policy and model-processing notice
Effective September 4, 2026
This Policy explains how System Analytics LLC, doing business as AI Deliberator, collects, uses, discloses, and retains information when you use the service. It also explains important limits on what you should submit.
1. Information we collect
- Account information: identifiers and profile details supplied through Clerk, such as user ID, email address, name, and authentication status.
- User Content: prompts, questions, experiment settings, datasets, collaborator invitations, model transcripts, syntheses, Consideration Maps, benchmark answers, and feedback.
- Billing information: credit purchases, balances, reservations, charges, transaction identifiers, and payment status. Stripe handles payment-card details; we do not need to store complete card numbers.
- Usage and technical information: selected models, token usage, costs, run status, errors, timestamps, browser or device information, security events, and standard server logs.
- Legal records: the versions and time of your legal acceptance, account email, acceptance method, and browser user-agent string.
2. How we use information
We use information to provide and personalize deliberations; route requests to selected model providers; preserve transcripts and research records; calculate estimates, credits, and charges; enable collaboration; authenticate users; prevent fraud and abuse; troubleshoot and secure the service; communicate about accounts or material changes; enforce agreements; comply with law; and analyze aggregate service performance.
3. AI model processing
Each question, relevant prior synthesis, and council context is sent to the model providers selected for that run. Providers may include OpenAI, Google, Anthropic, xAI, DeepSeek, and others identified in the interface. They process the material under their own API and privacy terms. Do not submit secrets, passwords, payment-card data, protected health information, highly sensitive personal information, or information you are not authorized to disclose.
4. When information is disclosed
We disclose information to service providers that perform authentication, hosting, databases, payment processing, model inference, monitoring, and support; to collaborators you invite; when you direct or consent to disclosure; to protect rights, safety, and service integrity; in connection with a merger, financing, acquisition, or asset transfer; and when required by law. We do not sell personal information for money or use it for cross-context behavioral advertising.
If a participant expressly requests a delayed-assessment reminder, the supplied email address and scheduled message are sent directly to our email-delivery provider. AI Deliberator stores the provider message identifier and delivery status, but does not store the participant's email address in its research database. The private assessment link remains usable without requesting email.
5. Collaborators and ownership
People invited to an experiment may access its questions, settings, transcripts, maps, results, and related content. The experiment creator controls invitations and remains the billing owner. Remove sensitive material before inviting collaborators and invite only intended recipients.
6. Retention and deletion
New council runs and their transcripts, token records, synthesis, and Consideration Maps are scheduled to expire after 90 days. Experiment owners can delete an experiment sooner from its Data controls; deletion also removes its runs, maps, collaborators, and benchmark results from the application database. We may retain limited account, transaction, security, legal-acceptance, backup, and dispute records as required for legitimate business or legal purposes. Deletion from active systems may not immediately remove disaster-recovery copies.
7. Security
We use administrative and technical safeguards intended to protect information, including authenticated access, authorization checks, rate and concurrency limits, origin validation, transport encryption, provider-call timeouts, and deletion controls. No internet service is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
You can review workspace content, remove collaborators, delete experiments, and stop using the service. You may request access, correction, or deletion of applicable account information by contacting us. Depending on where you live, you may have additional rights to know, correct, delete, obtain a portable copy, restrict or object to processing, or appeal a denied request. We may verify your identity before acting and may retain information where permitted or required by law.
9. Cookies and similar technology
We and our providers use cookies and comparable storage needed for authentication, security, session continuity, preferences, checkout, and core operation. Blocking essential cookies may prevent the service from working. We do not presently describe optional advertising cookies because the service does not use them.
We also record a small set of first-party product milestones—such as reaching the app, creating an experiment, viewing an estimate, completing a run, sending a follow-up, and purchasing credits—under a one-way pseudonymous account hash. These records exclude prompts, transcript text, email addresses, IP addresses, and advertising identifiers.
10. Children
The service is intended only for people 18 or older. We do not knowingly collect personal information from children. Contact us if you believe a child has supplied information.
11. International processing
We and our providers may process information in the United States and other countries whose privacy laws may differ from those where you live. Where legally required, providers use appropriate transfer safeguards.
12. Changes and contact
We may update this Policy and will revise the effective date. We will provide reasonable notice or request renewed acknowledgment for material changes where appropriate. Questions or privacy requests may be sent to info@systemanalytics.net. System Analytics LLC is located in Atlanta, Georgia, United States.
